We are now seeking a Funeral Operations Coordinator to join our small, dedicated team at our Measham office. This role will suit someone who enjoys variety, has excellent organisational skills, and takes pride in delivering exceptional service to funeral directors and families alike.

Role Summary

The Funeral Operations Coordinator is responsible for managing the day-to-day activities associated with booking, organising, and invoicing for funerals. This includes coordinating riders, vehicles, schedules, and administrative processes, ensuring that each funeral runs smoothly from initial enquiry to completion.

Key Duties and Responsibilities

  • Manage all incoming enquiries – including phone calls, emails, voicemails, social media messages, and referrals.
  • Coordinate the booking and administration of hearses, riders, and associated logistics.
  • Confirm funeral details with part-time riders and update the central diary in liaison with the Office Manager.
  • Maintain and update all schedules and documentation related to riders and funeral instructions.
  • Ensure all riders have their job sheets and schedules in advance, with correct paperwork prepared and filed.
  • Notify the Managing Director of any availability issues, special requests, or scheduling conflicts.
  • Follow up with funeral directors after each funeral to ensure satisfaction and address any feedback.
  • Print and display the weekly schedule on the noticeboard.
  • Update the database following each completed funeral.
  • Allocate riders to upcoming funerals based on availability and suitability.
  • Administrative Support
  • Assist with marketing activities such as sending promotional materials and maintaining stock of marketing items (e.g., branded mugs, picture packs).
  • Check funeral directors’ branches have Motorcycle Funerals’ picture packs and post replacements when needed.
  • Issue memory boxes or other items to riders as required.
  • Handle incoming calls and make outgoing calls as necessary.
  • Provide general administrative support to the Managing Director and wider team.
  • General Duties
  • Liaise with the Office Manager, mechanic, and admin assistant to ensure rider access to the site at all times.
  • Support with general site duties as needed, including cleaning, attending events, and purchasing supplies.
  • Maintain a safe and tidy working environment, reporting any hazards or maintenance issues promptly.
  • Contribute to the team culture – we’re a small, close-knit group and value teamwork, flexibility, and a willingness to “muck in” wherever needed.

Person Specification

  • Essential Skills & Attributes
  • Excellent communication and interpersonal skills.
  • Educated to GCSE standard which must include English and Mathematics.
  • 5 years administrative experience with excellent knowledge of Microsoft and Excel.
  • Strong organisational and administrative ability with keen attention to detail.
  • Confident using computers, email, and diary systems.
  • Professional, compassionate, and discreet when dealing with sensitive matters.
  • Ability to work independently and as part of a small team.
  • Flexible and proactive attitude – happy to turn your hand to a variety of tasks.
  • A passion or familiarity with motorcycles and motorcycling culture.
